Connecting QuickBooks

Learn how to connect Scheduling Hero to QuickBooks Online and automatically sync your invoices. Save hours on bookkeeping and eliminate double entry.

Open Accounting Software

Tap 'More' in the bottom navigation, then scroll down to the Integrations section and tap 'Accounting Software'. You'll see the available providers: Xero, QuickBooks Online, and FreeAgent.

💡QuickBooks integration is a Premium feature. You'll need an active Premium subscription to connect.

Tap the QuickBooks Online tile

Under 'Select Provider', tap the QuickBooks Online tile. This will open a secure login page hosted by Intuit (the company behind QuickBooks).

💡Only QuickBooks Online is supported. QuickBooks Desktop requires a different setup that we don't currently offer.

Sign in to your Intuit account

You'll see the Intuit sign-in page (Intuit owns QuickBooks). Tap your account if it's shown, or tap 'Use a different account' to sign in with another email.

💡Have your Intuit/QuickBooks login details ready before starting.

Tap 'Connect' to authorise

You'll see a screen showing 'Connecting Scheduling Hero to [Your Company]'. This explains what data will be shared. Tap 'Connect' to grant permission, or 'Show details about data' if you want to see exactly what's shared.

💡We only access invoice and contact data. You can disconnect anytime from either Scheduling Hero or your QuickBooks apps overview page.

Connection complete

You'll see a 'Connected to QuickBooks' success screen confirming your company is connected and invoices will sync automatically. Tap 'Return to App' or wait to be redirected. Back in Scheduling Hero, tap 'OK' on the confirmation dialog.

💡The Connection Status now shows 'Connected' in green, along with a Sync Status section showing invoices synced today, pending, and any that failed.

Disconnect QuickBooks (if needed)

To disconnect, open More > Accounting Software. You'll see the Connection Status showing you're connected to QuickBooks. Tap the 'Disconnect' button. Previously synced invoices remain in QuickBooks, but new invoices won't sync until you reconnect.

💡Disconnecting won't delete any data from QuickBooks. Your synced invoices stay exactly where they are.
